This Privacy Notice for Pitchwire, Inc. (“Pitchwire,” “we,” “us,” or “our”) describes how and why we collect, use, store, and share your personal information when you use our AI-powered press release distribution platform at pitchwire.ai (the “Services”).

1. Information We Collect
Information you provide directly
- Account information — name and email address, collected when you register via our authentication provider (Clerk)
- Press release content — headlines, body text, company information, and contact details you include in releases
- Media uploads — images or documents you attach to press releases
- Payment information — processed by Stripe; we do not store credit card numbers, CVVs, or bank account details on our servers
- Communications — messages you send us via email or support channels
Information collected automatically
- Device and browser information (IP address, browser type, operating system, language preferences)
- Usage data (pages visited, features used, timestamps)
- Email engagement data (opens, clicks) when we distribute releases on your behalf
- Cookies and similar technologies for authentication and session management (see Section 5)
2. How We Use Your Information
- Provide our Services — process your press releases, run AI-powered editorial review and polish, publish to your newsroom, and distribute via wire services and digital channels
- Process payments — charge for releases through Stripe and manage your purchase history
- Track distribution performance — provide analytics on distribution reach, email engagement, and channel status
- Communicate with you — send transactional emails about your releases, account updates, and service changes
- Improve the platform — analyze usage patterns to fix bugs, improve features, and develop new capabilities
- Prevent fraud and ensure security — detect unauthorized access, abuse, or violations of our terms
- Comply with legal obligations — respond to lawful requests from law enforcement or regulatory authorities
3. AI Processing
Your press release content is processed by large language models to provide AI editorial review, content polish, social media post generation, and pitch email drafting. This processing currently occurs via Google Gemini.
- We do not use your content to train AI models.
- Your content may be temporarily stored in the AI provider’s infrastructure per their data retention policies during processing.
- AI-generated output (polished releases, social posts, pitch emails) is stored in our database and associated with your account.
4. When and With Whom We Share Your Information
We share your information with:
- Wire distribution services — when you purchase a release and choose wire distribution, your press release content and contact information are submitted to our wire distribution partner for publication across news outlets
- Digital distribution channels — when you select email, LinkedIn, or X distribution, your release content is shared with those platforms via our distribution system
- Public newsroom — published releases are publicly accessible on your Pitchwire newsroom page and may be indexed by search engines
- Service providers:
- Clerk — authentication and account management
- Stripe — payment processing
- Google Gemini — AI content processing
- Vercel — application hosting
- Neon — database hosting
- Legal requirements — if required by law, subpoena, court order, or government request
- Business transfers — in connection with a merger, acquisition, or sale of assets
We do not sell your personal information.
5. Cookies and Tracking Technologies
We use essential cookies for authentication and session management via Clerk. These cookies are necessary for the Services to function and cannot be disabled.
We do not currently use advertising cookies or third-party tracking pixels. If this changes in the future, we will update this notice and provide appropriate consent mechanisms.
You can control cookies through your browser settings. Disabling essential cookies may prevent you from using authenticated features of the Services.
6. Social Logins
Our Services offer the ability to register and log in using third-party social media accounts (such as Google) via Clerk. When you do so, we receive your name and email address from that provider. We use this information only to create and manage your Pitchwire account.
7. International Data Transfers
Our servers are located in the United States. If you access the Services from outside the United States, your information will be transferred to, stored in, and processed in the United States.
If you are a resident of the European Economic Area (EEA), United Kingdom, or Switzerland, these regions may have data protection laws that differ from US law. We take appropriate measures to protect your personal information in accordance with this Privacy Notice and applicable law.
8. Data Retention
- Published releases remain on your newsroom indefinitely unless you request removal.
- Account data is retained while your account is active and for 30 days after deletion to allow for recovery.
- Distribution logs and analytics are retained for 12 months.
- Payment records are retained as required by tax and accounting law.
9. Children
We do not knowingly collect personal information from anyone under 18 years of age. If you learn that a child under 18 has provided us with personal information, please contact us at info@pitchwire.ai and we will promptly delete it.
10. Your Privacy Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate data
- Delete your account and associated data
- Export your data in a machine-readable format
- Withdraw consent for processing
- Opt out of marketing communications

11. Do-Not-Track
We do not currently respond to Do-Not-Track (DNT) browser signals because no uniform standard for interpreting DNT signals has been adopted. If a standard is established in the future, we will update this notice accordingly.
12. Security
We implement industry-standard security measures including encryption in transit (TLS), secure authentication via Clerk, encrypted database connections, and access controls. No system is 100% secure, and we cannot guarantee absolute security of your data.
13. Updates to This Notice
We may update this Privacy Notice from time to time. The updated version will be indicated by a revised “Last updated” date at the top. If we make material changes, we may notify you by email or by posting a prominent notice on the Services.
